Webinar Marketing Consultant

Filling a webinar is easy. Filling it with people who can buy, who show up live and who stay until the pitch is the actual job. I plan and run the promotion side of webinars: ads, email, WhatsApp, partners and organic, measured on cost per attendee at the pitch and cost per sale.

Webinar marketing consultant Ayoub Kaddouri: 10 years paid ads, 3x live attendance, €40M+ webinar sales
Promotion is judged on attendees at the pitch, not registrants.
Short answer

A webinar marketing consultant owns the promotion side: getting the right people registered, in the room and still there at the pitch. In practice:

I am Ayoub Kaddouri, a full stack growth consultant. I work across SEO, technical marketing, paid ads, reporting and martech instead of one channel, which is why clients hire me when the problem sits between departments. Ten years running paid ads, eight on email, six on SEO and six on WhatsApp automation. Over the last six years I have built, scripted or fixed more than 500 webinars, and the funnels around them have produced over €40 million in sales. That includes the operating system behind Bob Proctor's Thinking Into Results funnel and the GCC coaching brand where we tripled live attendance. I have worked with coaches in Europe, the Middle East and North America, and with B2B and industrial companies that needed a technical demo turned into a webinar that produces pipeline.

01 Channels that fill webinars

ChannelBest forTypical cost per registrantWatch out for
Meta AdsCold audiences for coaches and consumer education€3 to €12 in EU, €2 to €8 in MENACheap registrants who never show. Optimise for attendance, not leads.
YouTube AdsTrading, business and skills education€4 to €15Needs a strong 30 second hook. Great for retargeting warm viewers.
LinkedIn AdsB2B and industrial webinars€25 to €80Expensive. Use for retargeting and ABM lists, not cold scale.
Email listAny brand with 5K+ contactsNear zeroOne announcement email is not a campaign. You need 6 to 8 touches.
WhatsAppCoaches, MENA markets, high-ticketNear zeroOpen rates above 80 percent. Doubles live show-up when used for reminders.
Partners and JVCourse creators with aligned audiencesRevenue shareNeeds a swipe kit and a dedicated registration link per partner.
The rule

The ad, the registration page and the first five minutes of the webinar must say the same thing. When they do, show-up rate goes up on its own because people registered for the thing they actually get.

02 Show-up is a marketing problem

Most teams treat show-up as an email template. It is the biggest lever in webinar marketing. Going from 30 percent to 50 percent live attendance is the same as cutting your ad budget by 40 percent.

On the Thinking Into Results funnel this system held live attendance at 90 percent for a paid-entry webinar. On cold traffic for a GCC coaching brand, the same approach tripled live attendance.

03 How I work

  1. Promotion auditCost per registrant, per live attendee and per attendee at the pitch, by channel. Most clients have never seen the third number.
  2. Message matchI take the webinar's core message (the wrong diagnosis it attacks) and turn it into ad angles, email subject lines and registration page copy.
  3. Campaign buildAds, landing page, show-up sequence across email and WhatsApp, partner kit. Tracked with a UTM structure that survives into your CRM.
  4. Launch and optimiseFirst two runs with daily reporting. Budget moves to the channel with the cheapest attendee at the pitch, not the cheapest registrant.
  5. Hand-off or ongoingDocumented playbook for your team, or I keep running it monthly.

04 What you get

05 Who this is for

Good fit
  • Coaches and educators with a webinar that converts but not enough people in the room
  • Brands with an email list that is under-used for webinars
  • B2B and industrial companies running demo webinars
  • Teams spending €3K+ a month on webinar ads without stage-by-stage reporting
Not a fit
  • A webinar that has never converted on a live run (fix the funnel first, see webinar funnel consulting)
  • No budget for ads and no list
  • Looking for a one-off email blast

Want more buyers in the room?

Send me your last webinar's numbers. I will tell you in 30 minutes where the attendance is leaking and what it would cost to fix.

06 Frequently asked questions

What is the difference between a webinar marketing consultant and a webinar funnel consultant?
Webinar marketing is the promotion side: ads, email, WhatsApp, partners, show-up. Webinar funnel consulting covers the full path including the script, the pitch and the follow-up. I do both. If your webinar converts and you need more of the right people in the room, start with marketing. If the room is full and nobody buys, start with the funnel.
How do you fill a webinar with cold traffic?
Meta and YouTube ads built from the webinar's core message, a registration page that promises a result rather than a topic, a webinar date within 72 hours of registration, and a show-up sequence across email and WhatsApp. Then move budget to the channel with the cheapest attendee at the pitch, not the cheapest registrant.
What is a good webinar show-up rate?
35 to 50 percent live on cold traffic, and above 60 percent including replay. With a paid entry or application step, 70 to 90 percent live is achievable. If you are below 30 percent live, the show-up sequence and the scheduling window are usually the problem.
How much should I spend on webinar ads?
Start with a budget that gets you at least 150 to 200 registrants per run so the stage-by-stage numbers mean something. In most coaching markets that is €1,500 to €3,000 per webinar. Scale only once cost per sale is known and acceptable.
Does WhatsApp marketing work for webinars?
Yes, and in the Middle East and North Africa it is the main show-up channel. WhatsApp reminders open above 80 percent. I have automated WhatsApp for six years, both for reminders and for post-webinar follow-up with a sales team.
Do you work with B2B companies or only coaches?
Both. Coaches are about half my webinar work. The other half is B2B SaaS, e-learning platforms and industrial companies using webinars for demo requests and qualified pipeline. The channel mix changes, the structure does not.
