HubSpot Consultant for Coaches
HubSpot was built for B2B sales teams. A coaching business runs on webinars, applications, calls and payment plans, and the default setup fits none of that. I set up HubSpot the way a coaching sales team actually works, from the ad click to the closed program, with scoring, agent matching and WhatsApp in the loop.
A HubSpot consultant for coaches sets up the CRM around the coaching sales process instead of the B2B default. What I set up:
- Pipeline from webinar registration to attendance, application, booked call, showed call, sale, payment plan
- Lead scoring and agent matching so each lead goes to the closer most likely to convert them
- Email and WhatsApp sequences for show-up, follow-up, no-show recovery and payment chasing
- Reporting from ad spend to booked calls to closed revenue, by webinar and by campaign
I am Ayoub Kaddouri, a full stack growth consultant. I work across SEO, technical marketing, paid ads, reporting and martech instead of one channel, which is why clients hire me when the problem sits between departments. Ten years running paid ads, eight on email, six on SEO and six on WhatsApp automation. Over the last six years I have built, scripted or fixed more than 500 webinars, and the funnels around them have produced over €40 million in sales. That includes the operating system behind Bob Proctor's Thinking Into Results funnel and the GCC coaching brand where we tripled live attendance. I have worked with coaches in Europe, the Middle East and North America, and with B2B and industrial companies that needed a technical demo turned into a webinar that produces pipeline. For the Thinking Into Results funnel I built the scoring CRM with agent matching that the sales team ran on, alongside scripted sales calls and departmental reporting from CEO to junior closer.
01 Why the default HubSpot setup fails coaches
- Pipeline stages are B2B. Qualified, demo, proposal, negotiation. A coaching sale is webinar, application, call, decision, payment plan.
- No concept of a webinar. Registered, attended, stayed to pitch, replay watched. These are the strongest intent signals a coach has, and HubSpot does not track them without setup.
- Email only. Coaching sales run on WhatsApp in most markets. HubSpot needs an integration and a flow design to use it.
- Round robin routing. Leads go to whoever is next. In coaching sales, matching the lead to the right closer changes close rate by double digits.
- Reporting stops at the deal. No link from the closed program back to the webinar and the ad that produced it.
02 The coaching setup
| Layer | What I configure |
|---|---|
| Properties | Webinar registered, attended, minutes watched, stayed to pitch, replay, application answers, program interest, payment preference, region, language |
| Pipeline | Registered, attended, applied, call booked, call showed, offer made, won, payment plan active, lost with reason |
| Scoring | Fit (budget answer, region, role) plus intent (attendance, pitch retention, replies). Threshold triggers routing. |
| Routing | Agent matching by language, region, program and lead profile. Fallback to round robin. |
| Sequences | Show-up (email + WhatsApp), post-webinar by attendance state, no-show recovery, proposal chaser, payment plan reminders |
| Integrations | Webinar platform, calendar, WhatsApp, payment processor, Meta and Google offline conversions, n8n for anything custom |
| Reporting | Spend to registrants to attendees to calls to revenue, per webinar, per campaign, per closer |
03 Scoring and agent matching
On the Thinking Into Results funnel the sales team was large and the leads were varied by country, language and budget. Round robin meant a French-speaking lead with a payment plan question could land on an English closer who sold full-pay. We built scoring on fit and intent, and matched each lead to the closer with the best historical close rate on that profile. The same logic applies to a coaching business with three closers. The CRM knows who closes what. Use it.
If you are the only closer, scoring still matters. It decides who gets a call link immediately, who gets a nurture sequence, and who gets politely declined. Your calendar is the scarce resource.
04 How I work
- Audit your HubSpot and sales processWhat is in there now, what the closers actually do, where leads fall through. One week.
- Design the pipeline and the automation mapAgreed with you and the sales team before building.
- BuildProperties, pipeline, scoring, routing, sequences, integrations. Tested with real leads.
- ReportingDashboards for you, for the sales lead and for each closer. Spend to revenue.
- Train and hand offSession with the team, written documentation, 30 days of support.
05 Who this is for
- Coaches and coaching companies on HubSpot, or moving to it, with at least one closer
- Teams running webinars or challenges with calls as the close
- Coaching businesses in Europe, the Middle East and North America that sell on WhatsApp
- Companies with closers and no reporting on who closes what
- Coaches selling only low-ticket with no calls (HubSpot is overkill)
- Looking for a HubSpot licence reseller
- No sales process at all yet
